Working with the module
Staff planning
Manage your staff and fill shifts in the weekly planner. See times, assigned people and remaining vacancies. Approved leave and reported unavailability help you assign staff. You decide who works each shift.
Time tracking
Print a wall poster or personal QR cards. Your team opens the clocking page on a phone to record arrival, breaks and departure. A shared terminal can also require a PIN. Entries appear directly in your time records.
Time tracking
See who is working and open the history. Monthly and annual reports summarise recorded time. Export a CSV for further processing. The module does not produce payroll.
Hygiene and records
Display a cleaning task’s QR code. Your team selects a name, ticks off the checklist and saves the entry. The person, time and completed items are recorded. The scan page shows the last completion and next due date.
Hygiene and records
Attach the equipment QR code to the fridge. Your team enters a reading on a phone and sees the configured range. A reading outside that range requires a corrective action. The entry is flagged and added to the history. The warning is an on-screen indication.
Hygiene and records
Your team scans the training QR code, reads illustrated learning cards and answers the quiz. After passing, they confirm completion and sign with a finger. The PDF certificate and matrix make completion traceable. Templates cover basic hygiene, personal hygiene and allergens.
Step by step

Step 1 of 11
Print the poster and display it in the staff room. Its QR code opens this particular course.
Step 2 of 11
Giulia selects her name and starts the course on her phone. She does not need a personal user account.
Step 3 of 11
A short learning card explains when and how to clean your hands. The illustration supports the text.
Step 4 of 11
The next card covers chilled, frozen and hot food. Product instructions and your restaurant’s procedures still apply.
Step 5 of 11
Your team learns how to check ingredients and pass on questions. The card does not promise allergen-free food.
Step 6 of 11
Giulia selects one answer per question. The questions cover the material she has just read.
Step 7 of 11
The first attempt falls short. Feedback explains the wrong answers, and Giulia can try the quiz again.
Step 8 of 11
After passing the quiz, Giulia confirms she completed it herself and signs with her finger.
Step 9 of 11
The matrix shows which required courses are pending, valid or expired for each person. Giulia’s new self-study completion is recorded.
Step 10 of 11
The reminder email names the course and expiry date and asks the participant to contact the restaurant about a refresher.
Step 11 of 11 The result
Completion produces a PDF with the name, course, date, result, confirmation and signature. You can open it and keep it on file.

LidoOS Copilot
AI active for trainings
Copilot drafts learning cards and quiz questions for your course. Rosters, time tracking and the other QR workflows continue to work without AI.
Example input
Hand hygiene before plating a salad: wash hands with soap for at least 20 seconds and dry them with a disposable towel. Gloves do not replace handwashing.
You decide what gets adopted.
Generated proposal
Included in Professional and Enterprise. If no AI service is reachable, there is no suggestion; cards and questions then come from the templates or by hand.
Team self-service
Your team uses the QR poster to select a person and dates and submit a leave request. You approve or reject it in admin. The leave balance takes approved holiday days into account. Requests and decisions stay in one place.
Team self-service
Display the QR code for your availability survey. Your team marks each day as available, maybe or unavailable and can add a comment. Responses appear in a matrix for your next rota.
Team self-service
Share published vacancies through a QR poster. Your team sees the need and applies for a shift. You confirm the application in admin. Only then is the person assigned, keeping you in control of the rota.
Gastro tools and POS
Time tracking and shifts currently have no connection to LidoOS POS.
Maintain contacts and active team members as the basis for shifts, time records and assigned evidence.
Create and fill shifts. Assignment checks overlaps, approved absences and reported unavailability.
Share vacancies by link or QR poster. Staff express interest; final assignment remains a separate planning step.
Collect responses through links or QR codes and use the resulting matrix for planning.
Record, review, approve or reject requests, including through configured staff links or QR terminals.
Record arrival, departure and breaks using staff cards or paired terminals where configured. Export time reports.
Maintain recurring tasks and templates. Review existing logs and due or overdue work.
Maintain training content and templates. A required-training matrix shows valid, expiring and outstanding records.
Define devices, locations and limits. Manually record readings and review deviations and latest entries.
Document ingredients, preparation, portions and costs, then recalculate. Stored allergen and dietary information supplements the recipe.
Review shift coverage, pending cleaning and training status to identify follow-up work.
What you need to get started
Maintain staff, responsibilities and templates; configure QR access and terminals. Temperature readings are entered manually. Professional checks and carrying out cleaning and training remain the business's responsibility.
The limits
The module replaces neither payroll nor a temperature sensor. Your team measures and records readings. A temperature warning does not send a notification. You assess the actual cleaning and the appropriate action.
Packages
Gastro tools are part of Professional and Enterprise. Starter does not include them. Current terms are in the shop.

Short answers
These tools cover staffing, time tracking, operations and recipe costs. They do not imply automatic stock movements, supplier ordering or payroll. Temperature logs are not automatic sensor monitoring.
No. The team scans the poster or the personal card, selects a name and records. Wall terminals can require a PIN. Admin stays with you.
The team sees the target range at once, must enter an action and the entry is flagged. No notification is sent by that, you see it in the history.
No. The QR codes lead to pages in LidoOS. Recording needs a connection on the phone.
All people, shifts and records shown are fictional demo data from Via Palermo.
Your plan, enabled modules and limits define the scope. The shop shows current terms. We plan connections to POS, devices and external services with you.
